Voice-First AI Assistant
Enhances MRO Productivity
Success Story
An independent Part-145 MRO was capturing defects on paper and coordinating shift handovers by word of mouth. For that MRO, the process resulted in wasted time and incomplete records. Scalefocus delivered a voice-first AI assistant built on the OASES Gateway API, enabling engineers to log defects, run shift handovers, and query technical data hands-free on the aircraft. The solution is paper-free from day one, delivers double-digit productivity improvements, and provides full audit traceability.

The Client
An independent Part-145 MRO operating across European facilities. Maintenance engineers accessed the MRO system of record only via desktop terminals, which required them to leave the aircraft, remove their gloves, and key in data by hand.
The Challenge
Non-routine defects were captured on paper and later transcribed, which introduced lag and errors at every handoff. Shift handovers relied on verbal briefings that varied in completeness and were never recorded against the aircraft, leaving the incoming team dependent on what was said rather than what was documented.
Checking parts or technical data meant wasting time and effort to navigate screen-based workflows at a terminal. Each of these friction points compounded across a shift, adding time and audit risk without adding value.
The Solution
Scalefocus delivered a voice-first assistant built on the OASES Gateway REST API, with a companion web interface for planners and stores, and one AI core serving the full workflow. Engineers now capture defects by speaking directly on the aircraft: ATA chapter, zone, and action are extracted from speech and written back to OASES as a non-routine card, with the transcription step removed entirely. Shift handovers work the same way: spoken notes become structured per-aircraft briefs recorded against the job, so the incoming team reads what happened rather than relying on what someone remembers saying.
When an engineer needs a stock level or an IPC reference mid-task, a voice query provides the answer without leaving the aircraft. Desktop users access the same knowledge layer through the web interface. Speech recognition is tuned for hangar noise throughout, and the solution is rolled out, starting with defect capture and giving engineers time to validate the output before the full workflow goes live.
The Results
- Paper-free defect capture: non-routine cards created by voice, with the transcription step removed
- Double-digit productivity improvement against the baseline set at discovery, engineers stay on the aircraft
- Full audit traceability: every interaction logged with user, confidence score, and OASES transaction reference
